March 2008 Regular Meeting Minutes (Draft) Attendees: Lavone Archer, Pierre Cantou, Shirley Coté, Darrel Dodd, Doug Duffy, Robin Evans, Cynthia & Ray Grant, Genie & Jack Howell, Harvey Jong, Jan Rasmussen, Dana Slaughter, Bill Yedowitz The meeting was called to order by Ray Grant. A. Minutes of the Annual Meeting Ray asked for additions or corrections to the draft Minutes as published in the Newsletter. No changes were suggested. Doug Duffy moved to the accept the Minutes. Bill Yedowitz seconded the motion. The motion passed. B. Treasurer's Report (Darrel Dodd) Darrel reported on recent deposits to the checking account that included symposium registration fees. He pointed out a number of bills related to the symposium are coming up and asked for other new bills. Ray commented that he has been tracking symposium expenses and that the event is very close to break even with the current fees. C. Committee Reports 1. Collection Committee (Bill Yedowitz) Bill mentioned that at the last meeting the committee selected around 50 minerals for the silent auctions at the symposium. He also indicated that he found an additional 7-8 pieces at the trailer. So, there should be a good assortment of specimens for the auctions. He cautioned, however, that without some new donations and/or buying a collection next year's symposium may be limited to only one auction. Ray suggested making an extra effort in soliciting donations of new minerals. Bill pointed out that he rearranged cabinets in the Flagg Gallery and moved the large tourmaline specimen to a more prominent location. He announced the committee's next project will involve reviewing and organizing the old records stored in the file cabinets. There was some discussion on what items to keep and what should be discarded. Even though he will unable attend the March meeting, Bill encourage members to come and begin sorting the documents. 2. 3. Newsletter (Steve Decker) Steve was not present due to his work schedule, but Ray pointed out the importance of keeping the Newsletter mailing list up-to-date. He stated that Lavone is working very hard to maintain current addresses for members and that any changes should be forwarded to her. 4. Symposium - 2008 - Saturday, March 15 Ray mentioned that the food still needs to be ordered, but everything else is ready for the symposium on Saturday. He announced that no field trip has been scheduled for Sunday. 5. Field Trips (Chuck Kominski) Chuck was unable to attend the meeting, so Ray summarized some of the on-going efforts and difficulties in organizing field trips to active mine sites. Bill mentioned that he talked to Chuck before the meeting and indicated that a trip to the Ray mine that had been planned for April has been postponed until the Fall. There was some discussion on a possible trip to the Bagdad mine. Given the high price of gas, concerns were expressed about collecting opportunities and the type of materials that might be found. 6. Flagg Show - 2009 (January 9, 10, 11) Ray pointed out that show flyers are available and encouraged members to start distributing them. He described the decision to hold the show on the second weekend in January was based primarily on better publicity opportunities. D. Old Business 1. Any old business Genie Howell asked about reviewing the list of Flagg Show activities that Lavone had compiled. Ray suggested having this discussion at the next meeting so that copies of the list could be made for members. He also announced that the dealer mailing will be prepared before the May meeting at 6pm. Pizza and soda will be provided. E. New Business 1. Museum security and related improvements Jan Rasmussen presented some concerns about Museum security and the need to upgrade capabilities. She indicated that current security cameras are not sufficient for identification purposes, while the simple motion detectors/buzzers installed on the gold and jewelry cases are only a stop gap measure. She proposed adding a glass shocker system that detects glass breakage and triggers an alarm. The cost is estimated to be around $5000-$6000 for all the mineral cases. |
