March 2005 Board Meeting Minutes (Draft)

March 10, 2005

Attendees: Lavone Archer, Ben Benham, Susan Celestian, Shirley Coté, Steve Decker, Marc Fleischer, Ray Grant, Paul Harter, Genie Howell, Jeff Johnson, Harvey Jong, Les Presmyk, Nick Priznar, Phil Richardson, Bill Yedowitz
Ray Grant called the meeting to order.

Minutes of the January Meeting

Ray asked for a motion to accept the Annual Meeting minutes as published in the Newsletter. Les Presmyk moved to approve the minutes. Ben Benham seconded the motion. The motion passed.

Treasurer's Report

Darrel Dodd was on vacation, so Ray reported on the status of the Foundation's bank accounts.

Committee Reports

1. Collection Committee
Bill Yedowitz, the new Collection Committee chairperson, introduced himself and reported on the last committee meeting which sorted specimens from one cabinet and decided on the minerals of the 79 mine as the theme for the 2006 Flagg Show poster. He outlined plans to organize the Flagg Gallery before the upcoming Symposium and announced a work day on Saturday, 3/12 from 11am-4pm. Work session activities will include going through the remaining cabinet of specimens, reviewing cases and specimens, and tidying up the room.
There was some discussion on improving how specimens are currently displayed. Bill pointed out that a case should have a focal point around a signature piece, such as the Bisbee azurite and malachite vug, He also suggested adding some new case themes, such as Arizona localities, Mexican minerals, copper, calcites, notable states, and worldwide specimens. Overall aesthetics, good display of individual specimens, and correct uniform labels are key considerations of the reorganization effort.
Bill requested other suggestions for the gallery makeover along with the e-mail addresses of members interested in helping with the collection. He also pointed out that the next regular committee meeting is scheduled for 3/22 and the possibility of holding a follow-up work day on Saturday, 3/26.

Harvey Jong indicated that a new virtual tour will be created after the Flagg Gallery makeover has been completed. He also mentioned obtaining a new software program that will allow website visitors to zoom in on specimen images.
Harvey provided an update on the Mineralogy of Arizona DVD project where Bill Hunt's slide collection is being scanned. To date, 442 slides of Arizona minerals have been captured, and the resulting images files have been backed up on 12 DVD discs. Given the growing amount of image data, he suggested acquiring a 250 gigabyte hard disk drive for the project. Les moved to allocate funds to purchase this hard drive. Steve Decker seconded the motion. The motion passed.
3. Newsletter (Steve Decker)
Steve thanked members for their inputs for the last Newsletter and indicated that he would meet with Darrel about funds for publishing the next edition.
4. Poster Sales
Les reported on another good year of poster sales. Over 250 previous year posters were sold along with 224 cinnabar posters. He described a problem with the extra inventory of 2000, 2001, and 2003 year posters. He indicated that he will be making a proposal to the Tucson Show Committee about bundling a package of several hundred of these posters to give the Museum for teacher kits. There was some discussion on other ways of moving posters and the number of posters to print for a given year.
5. Symposium - 2005 - Saturday, April 16
a. Registration
Ray pointed out that flyers were included in the last Newsletter and that 32 registrations have been received so far. The deadline to register is 4/8.
b. Silent Auction
The Collection Committee has set aside specimens for the auction. Lavone Archer indicated that she printed some auction bid sheets.
5. Field Trips
Ray mentioned that he received a confirmation from Phelps Dodge about a field trip to the Miami
