2004 Annual Meeting Minutes (Draft)
Arizona Mineral and Mining
Museum Foundation
January 2, 2004

Ray Grant called the meeting to order and welcomed new members.

Minutes of the November Meeting
Ray pointed out that the November Board Meeting minutes were published in the last Newsletter.

Treasurer's Report
Darrel Dodd reported on the status of the Foundation's checking account.

Committee Reports

1. Collection Committee (Donn Cuson)
Donn was unable to attend the meeting, so Ray provided a quick summary of Collection Committee
projects.
      a. Next meeting Tuesday, Jan. 27 at 6:45PM
Ray announced that the next meeting will be held on Tuesday, Jan. 27 at 6:45PM at the Museum. He
encouraged interested members to attend.
      b. Collection Committee Guidelines
Ray indicated that a corrected version of the guidelines was now available.

2. Website www.azminfun.com (Harvey Jong)
Harvey mentioned that the 2004 mineral ball animation has been added to the website. This year's "ball" is a sphalerite cluster with fluorite. He invited interested members to submit content to the site.
3. Newsletter (Steve Decker)
Steve was not present. Ray indicated that there were no new issues and complemented Steve on his

continuing efforts in editing the Newsletter.

4. Symposium - 2004 - March 27
Ray announced that the 12th Annual Minerals of Arizona Symposium will be held on Saturday, Mar. 27 at the Museum. He indicated that the program is available and will be mailed to members.
     a. Registration
Ray mentioned that members get a $5 discount and encouraged everyone to send in their registration.
     b. Silent Auction
Ray pointed out that there will be a silent auction at the Symposium. He stated that the trailer and
Gallery cabinets have some specimens for the auction, but asked for donations of additional minerals.

5. Field Trips
Ray reported that he is working on a field trip for the day after the Symposium. He also mentioned that Steve is organizing a trip to California.

6. Flagg Show - 2005 (January 7?, 8, 9)
Ray discussed the need to move the 2005 Flagg Show dates due to a conflict with New Year's day.
There was some concern that the change would overlap with the Arizona Rockfest; however, Ray
indicated that he had an assurance from W. R. Russ, the Rockfest organizer, that their show would
move to the following weekend.
     a. Two days or three days
There was some discussion on whether to have a two or three day show. A straw poll vote indicated a preference for the three day format.
     b. Publicity (volunteers)
Ray asked for volunteers to help with show publicity. Shirley Coté indicated that she and Liz Anderson would be willing to help. There was some discussion on forming a publicity committee and the need to follow up on newspaper and magazine announcements.  Darrel requested volunteers to help with Sunday clean up activities.

7. Flagg Distinguished Service Award
Ray described this award along with past recipients. He indicated that nominations should be sent to
Genie Howell before the Symposium.
