November 2003 Board Meeting Minutes (Draft) Arizona Mineral and Mining Museum Foundation November 13, 2003
Attendees: Lavone Archer, Ben Benham, Pierre Cantou, Stan Celestian, Susan Celestian, Shirley Coté, Steve Decker, Darrel Dodd, Doug Duffy, Cynthia Grant, Ray Grant, Genie Howell, Harvey Jong, Phil Richardson Ray Grant called the meeting to order.
Approval of Minutes:
Ray asked for corrections/additions to the draft of the September Board Meeting Minutes. No changes were suggested. Genie Howell moved to approve the minutes; Steve Decker seconded the motion. The motion passed.
Treasurer's Report
Darrel Dodd reviewed the Foundation's financial status as of 10/31. He reported that investments are providing good returns given improving market conditions.
Committee Reports
1. Collection Committee (Donn Cuson) a. Collection Committee Guidelines Donn was unable to attend the meeting, so Ray led the review of the guidelines. Genie pointed out some spelling/grammatical errors along with a missing "Board" member qualifier in Item 3 relating to accessing cases in emergencies. There was some discussion on the sign-in list for Gallery visitors. Doug Duffy moved to ratify the guidelines with spelling/grammar corrections and the above "Board" member qualification. Cynthia Grant seconded the motion. The motion passed. 2. Website www.azminfun.com (Harvey Jong) Harvey reported that the Foundation's domain name has been renewed for 5 more years and that the website is now back on-line. He mentioned that the change in administrative contact is still pending a request by Randall or Christine. He also indicated the domain, peraltastones.com, has been renewed for two more years. Shirley Coté pointed out the website mentions free admission to the Museum. Harvey said that he would correct this as soon as possible. 3. Newsletter (Steve Decker) Steve presented receipts for various Newsletter expenses. He displayed the new Foundation Newsletter Editor digital camera- a Nikon Coolpix 4500. He

mentioned that the new camera arrived just-in-time as his old camera died. He indicated that the deadline for submitting articles to the next Newsletter would be 12/1. Steve reported that funds approved for Arrowhead Geology Club were used to purchase name badges and magnifiers and that remaining money would go towards a club party. 4. Field Trips a. December 7 Field Trip Steve described the upcoming trip near Weldon Mountain. Specimens of blue, green, and turquoise-colored fluorite crystals with barite have been found at this location. The trip is free for Foundation members thanks to the generosity of Bill Gardner and Ed Davis. b. Others There was some discussion on future trips. Red Cloud, Apache, Silver Bell, and Fat Jack were suggested as possible sites. Ray indicated that he would look into trip arrangements. 5. Flagg Show - Jan. 2, 3, 4, 2004 - publicity Ray urged members to distribute show flyers and posters. However, no more posters were on hand due to Family Day and poster kit mailings to pre-paid dealers. Harvey indicated that he would print a new batch of 100 posters. Lavone reported that 30 dealers had already sent in their fees. Darrel mentioned that the Family Day sale was reasonably successful in spite of the limited materials, but this success has made the shortage of specimens even more acute. Harvey indicated that he purchased 3 "bargain" flats of minerals while in New Mexico and that Dave Douglass offered to donate 9 flats. Ray issued a general call for more mineral donations. 6. Symposium - March 27 Ray announced that the 12th Annual Minerals of Arizona Symposium will be held on Saturday, Mar. 27 at the Museum. He indicated that he has lined up most of the speakers, but will consider a few additional presentations.
Old Business
1. Tucson Posters Ray mentioned receiving some legal correspondence about the posters. He also reported that the Tucson club voted to overturn the previous decision to take back poster sales responsibilities. So, the Founda
